At Thriving Minds Coaching, your privacy is important to me. This Privacy Policy outlines how I collect, use, and protect your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
I collect personal information directly from you when you:
Book or enquire about coaching sessions, workshops, or teacher education sessions
Complete intake or enquiry forms
Subscribe to emails, newsletters, or downloadable resources
Communicate with me via email, social media, or other channels
The types of personal information I may collect include:
Name, email address, and contact details
Age or date of birth (for teen clients, only where relevant)
Information shared during coaching sessions or through forms (e.g., goals, challenges, background)
Payment details (processed securely through third-party providers such as Stripe or Ivorey, I do not store card details)
For minors, personal information is only collected with parental or guardian consent.
Your personal information is used to:
Provide and personalise coaching, resources, and support
Communicate with you about appointments, updates, or relevant services
Improve my coaching programs, educational materials, and online offerings
Comply with legal and professional obligations
I do not sell, rent, or trade your personal information to any third party.
All personal information is stored securely using password-protected systems and encrypted services (including Ivorey, Google Workspace, and Zoom).
Only I, Trudy Parkin, have access to your data. Any physical records are stored securely and destroyed when no longer required.
All coaching sessions are held via Zoom. Zoom offers an integrated AI note-taking tool that automatically generates meeting notes for both myself and the client. This helps us keep accurate session summaries and track your goals and progress.
If you would prefer not to use this feature, please let me know before your session, I will turn it off immediately.
Everything shared in coaching sessions is strictly confidential, except where I am legally or ethically required to act to ensure safety.
If I ever have concerns about your mental health or wellbeing, for example, if I believe there is a risk of harm to yourself or someone else, I will:
Raise my concern with you directly and discuss the situation openly and respectfully.
Encourage you to contact your GP, therapist, or a relevant mental health professional.
If necessary, and particularly in cases of imminent risk, I may contact a nominated emergency contact person or appropriate support service (such as Lifeline 13 11 14 or emergency services).
All actions are guided by my Duty of Care and Ethical Practice Policy, in line with the International Coaching Federation (ICF) Code of Ethics. My priority will always be your safety, dignity, and wellbeing.
You have the right to:
Access your personal information
Request corrections or updates
