Terms and Conditions - Thriving Minds Coaching

Welcome to Thriving Minds Coaching. These Terms and Conditions outline the guidelines for working together to ensure a respectful, supportive, and professional coaching experience.

By booking or attending a coaching session with Trudy Parkin, you agree to the following terms.

1. Purpose of Coaching

Coaching is a collaborative process that supports clients in developing awareness, clarity, and strategies for positive change. Coaching is not therapy, counselling, or medical treatment. It focuses on the present and future rather than diagnosing or treating mental health conditions.

If, during our work together, it becomes clear that therapeutic or medical support may be beneficial, I will discuss this with you and, if appropriate, recommend seeking help from a qualified health professional.

2. Duty of Care

Your wellbeing matters deeply to me. While coaching is not therapy, I take my duty of care seriously.

If I ever have concerns about your mental health or safety, I will:

  • Speak with you directly and compassionately about what I’ve noticed.

  • Encourage you to reach out to your GP, therapist, or another mental health professional.

  • If I believe there is a risk of harm to yourself or someone else, I may contact your nominated emergency contact or an appropriate support service (for example, Lifeline on 13 11 14, or emergency services if required).

  • All actions are guided by my Duty of Care and Ethical Practice Policy, in line with the International Coaching Federation (ICF) Code of Ethics. My approach will always be grounded in care, respect, and transparency.

3. IFS-Informed Coaching

As part of my work, I offer Internal Family Systems (IFS)-informed coaching, a compassionate, evidence-based approach that helps clients understand and work with the different ‘parts’ of themselves.

IFS is not psychotherapy, but it can be deeply reflective and emotionally meaningful. I will always ask for your consent before introducing any IFS-informed process in a session. You can decline or pause this work at any time.

IFS coaching is offered to help you:

  • Build self-awareness and emotional regulation;

  • Understand internal patterns of avoidance, motivation, or perfectionism;

  • Strengthen self-compassion and internal balance.

  • Your comfort and emotional safety are always the priority.

4. Confidentiality

Everything shared in coaching sessions is confidential.

Information will only be disclosed if:

  • You provide written consent to share information with another professional or third party;

  • I am legally required to disclose information; or

  • I believe there is a serious risk of harm to yourself or someone else.

  • Session notes are stored securely, and any AI note-taking tools (such as Zoom’s integrated AI summary feature) are used only with your consent and can be turned off at your request.

5. Session Format and Duration

  • All sessions are held online via Zoom.

  • Individual sessions are typically 45–60 minutes, unless otherwise agreed.

  • Coaching packages or programs include a set number of sessions to be used within an agreed timeframe.

6. Fees and Payment

  • Coaching session fees are clearly stated prior to booking.

  • Payment is required prior to each session or as part of a package.

  • Payment Options: Coaching sessions can be paid securely through Xero, direct debit, or bank transfer. whichever is easiest for you. If you’re purchasing an e-book or digital resource, payment is processed securely through Stripe.

  • Prices are in AUD and include GST where applicable.

7. Cancellation and Rescheduling Policy

I understand that life can be unpredictable. However, due to the high demand for coaching sessions and limited availability, the following policy applies:

  • A minimum of 12 hours’ notice is required for any cancellation or reschedule.

  • Cancellations made less than 12 hours before a session, or failure to attend, will incur the full session fee.

  • This policy helps me manage my calendar and offer session times to other clients who are waiting for support.

  • If you have an emergency or extenuating circumstance, please contact me as soon as possible. I approach every situation with understanding and fairness.

8. Communication Between Sessions

You’re welcome to contact me between sessions for brief check-ins or clarifications. Please note that detailed coaching support outside of sessions may need to be scheduled as additional time.

Emails are typically responded to within 24 hours (Monday–Friday).

9. Coaching Outcomes

Results and progress from coaching depend on your level of engagement, self-awareness, and follow-through between sessions. I will provide tools, guidance, and support, but ultimate responsibility for change and action remains with you.

10. Privacy and Data Protection

Your personal information is handled in accordance with the Thriving Minds Coaching Privacy Policy and the Australian Privacy Principles (APPs).

All data is stored securely and never shared without consent.

11. Feedback and Complaints

Your feedback is always welcome. If at any point you have concerns about the coaching process, please contact me directly so we can address it respectfully and collaboratively.

12. Agreement

By booking or attending a session with Thriving Minds Coaching, you confirm that you have read, understood, and agree to these Terms and Conditions.
